Corporate Event Budgeting: What Actually Costs What

The Transparency Problem

The corporate events industry thrives on opacity. Vendors quote "starting from" prices that bear no resemblance to final invoices. Budgets are set based on guesswork and last year's numbers plus 10%.

After planning 1,000+ events, here is what things actually cost in 2026.

Accommodation (The Biggest Variable)

  • Standard (3-star): ₹2,500 to ₹4,500 per person per night
  • Premium (4-star): ₹5,000 to ₹8,000 per person per night
  • Luxury (5-star): ₹10,000 to ₹18,000 per person per night

Destination matters enormously. A 4-star in Coorg costs what a 3-star costs in Goa during peak season.

Activities and Team Building

  • Basic (ice-breakers, indoor games): ₹500 to ₹1,000 per person
  • Structured (facilitated workshops, outdoor challenges): ₹1,500 to ₹3,000 per person
  • Premium (adventure sports, cultural immersions, celebrity facilitators): ₹3,000 to ₹8,000 per person

Transport

  • Airport transfers (bus, 40-seater): ₹15,000 to ₹25,000 per trip
  • Local transport (full-day bus): ₹12,000 to ₹20,000 per day
  • Tempo traveller (12-seater): ₹6,000 to ₹10,000 per day
The number one budget overrun is not the venue or the activities. It is transport and logistics — the things nobody plans carefully enough.

For a standard 3-night corporate offsite in India:

  • 30 people: ₹8L to ₹18L
  • 50 people: ₹14L to ₹30L
  • 100 people: ₹28L to ₹60L
  • 200 people: ₹55L to ₹1.2Cr
